Executive Assistant, Operations Coordinator

The Executive Assistant, Ops Coordinator is a part of the Corporate Operations Team, comprised of experienced store operations leaders who are the epicenter of our stores' overall success. Primary responsibilities include providing a full range of high-level support to the Operations Teams, the SVP of Operations- East, and the Corporate Office Manager. Additionally, the Executive Assistant, Ops Coordinator will be responsible for the successful coordination and management of Operations-related and department events.

Essential Duties and Responsibilities

  • Provides support to the Operations Teams, the SVP of Operations- East, and the Corporate Office Manager.
  • Heavy calendar and appointment management responsibilities.
  • Coordinate and arrange travel, schedule meetings, order office supplies and additional items for meetings, and process invoices and expense reports for the SVP and other Executives as needed.
  • Develop presentations, reports, meeting and travel agendas, and other collateral.
  • Collect, analyze, and summarize information as part of research projects.
  • Assist with development, implementation and enhancement of department processes.
  • Assist with project management as necessary.
  • Works cross-functionally with other sub-departments, departments, and interacts daily with high-level company executives.
  • Plans, develops, and coordinates logistics for Operations-related events.
  • Facilitates all aspects of department event planning, to include site selection, vendor negotiation and management, sending of invitations and communications, and attendee coordination.
  • Conducts research and data compilation on venues and vendors to negotiate and track for budgeting purposes.
  • Maintains flexibility with last-minute changes and requests.
  • Compose a variety of correspondence; ensure all business communications are well-written, professional, timely and effective.
  • Practice a high level of confidentiality.

Minimum Qualifications

  • 4-5 years of administrative or C-level support and event planning experience.
  • Must be self-directed with strong problem-solving skills and the ability to make quick and confident decisions.
  • Excellent communication and organizational skills with strong attention to detail and follow-through abilities.
  • Strong calendar management skills.
  • Must excel in a chaotic and fast paced environment.
  • Strong ability to exercise discretion, judgment, tact, and poise in handling sensitive and confidential information.
  • Proficient in MS Word, Excel, PowerPoint, and Outlook.
  • Ability to meet deadlines.
  • Strong interpersonal skills with the ability to both be a team player and work independently.
  • Standing, walking, sitting, repetitive movements, and use of mechanical controls, such as keyboard, are frequently required.

Bonus Qualifications

  • Bachelor's Degree Preferred
  • Experience in a corporate environment.
