Lease Portfolio Administrator II

As Lease Portfolio Administrator II, you would be part of a fast-paced, process-driven team that executes and provides results that set our business up for success. Your role would be all about overseeing all lease-related documents and related activities such as key clauses, lease amendments, property issues, and more. Your leadership and communication skills would be your keys to success and would allow you to also focus on various projects and initiatives to improve the Company's key data on leasing.

Essential Duties and Responsibilities

 

  • Abstract lease data and rental obligations into lease management software for new leases, lease amendments, terminations, existing leases, and other lease-related documents.

  • Review and manage lease-related rental payments, including base rents, CPI and fixed rent escalations, and monthly escrows for common area maintenance, insurance and real property tax payments.

  • Perform desk top audits to identify over-billings of common area and other lease related expenses and coordinate with landlords to recover any monies due to the Company.

  • Represent the Company as the point of contact for landlords for all lease related communications, including resolution of issues, change of ownership documentation and processing, billings, collections, and property issues.

  • Manage and coordinate new lease requirements for tenant improvement allowances, time sensitive contingencies, and possession of the premises.

  • Oversee and coordinate lease closure process, including surrender requirements, collection of security deposits and appropriate finalization of lease payments and data management.

  • Point of contact for all Corporate and Operations teams for lease related inquiries and requirements.

  • Help to lead, train, and develop other members of the Leasing Department.

Minimum Qualifications

  • 4-5 years of experience in lease portfolio management, including abstracting, reviewing, and analyzing commercial real estate lease documents and related monetary obligations
  • Strong understanding of lease administrative functions, including billing of base rents and escalations
  • Ability to review and reconcile billings
  • Strong written and verbal communication skills
  • Ability to manage and resolve lease-related disputes, maintenance issues, and defaults
  • Strong understanding of lease terminology and implications of lease language
  • Must be proficient in Microsoft Office Suite
  • Must have experience with and proficiency in Lease Management Software

Preferred/Bonus Qualifications

  • Bachelor's Degree in Real Estate, Accounting, or Business 
  • Accruent experience
